Why are external storage systems important for knowledge work?<\/p>\n\n\n\n<p>Knowledge work is <a href=\"https:\/\/www.shortform.com\/blog\/fulfilling-work\/\">valuable work<\/a> in today&#8217;s society. Scientists, programmers, and more are all considered knowledge workers, and external storage systems can help them be better at their jobs.<\/p>\n\n\n\n<p>Let&#8217;s look at why Tiago Forte&#8217;s book <em>Building a Second Brain<\/em> suggests using this system for knowledge work.<\/p>\n\n\n\n<!--more-->\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Your Brain\u2019s Not Equipped to Effectively Manage Today\u2019s Information<\/strong><\/h2>\n\n\n\n<p>Forte claims that modern humans need an external storage system (ESS)\u2014a digital platform to store all the important ideas, information, and work they encounter\u2014because <strong><em>knowledge<\/em><\/strong><strong>,<\/strong><strong><em> <\/em><\/strong><strong>and the ability to do <\/strong><strong><em>knowledge work, <\/em><\/strong><strong>is the most valued asset in today\u2019s society.<\/strong>&nbsp;In Forte\u2019s view, knowledge work involves recalling important pieces of information, <a href=\"https:\/\/www.shortform.com\/blog\/personal-connections\/\">making connections<\/a> between them, and using the insights gained from this process to develop <a href=\"https:\/\/www.shortform.com\/blog\/there-are-no-new-ideas\/\">novel ideas<\/a> or solve problems. Your ability to do knowledge work hinges on how <em>creative<\/em> and <em>productive <\/em>you are<em>.<\/em> Creativity is the ability to make connections between ideas and information. Productivity is the ability to make effective use of your time and creativity to accomplish a goal. <strong>The more creative connections you can make, and the faster you can execute on them, the better you\u2019ll be at knowledge work.<\/strong><\/p>\n\n\n\n<p>However, Forte notes that <strong>our ability to do knowledge work is hindered by our brain\u2019s inability to effectively manage today\u2019s information. <\/strong>We have access to an unlimited amount of important information in today\u2019s modern age due to the rapid evolution of technology. However, our brains can\u2019t store and recall this vast quantity of information because they haven&#8217;t developed at the same exponential rate. Consequently, we struggle to remember important information when we need it, which hampers our ability to do knowledge work.<\/p>\n\n\n\n<p><strong>A digital external storage system solves this problem by allowing us to store every important idea we encounter in a highly organized system that makes it easy to recall information at any time<\/strong>. This will increase our creativity (ability to draw connections between ideas) and productivity (ability to quickly recall information), which, in turn, will increase our knowledge and ability to do knowledge work.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The History of Knowledge Work<\/strong><\/h2>\n\n\n\n<p>The concept of knowledge work was first popularized in 1959 when management expert Peter Drucker coined the term \u201cknowledge workers\u201d in his book <em>The Landmarks of Tomorrow<\/em>. As Drucker explains in <a href=\"https:\/\/shortform.com\/app\/book\/the-effective-executive\"><em>The Effective Executive<\/em><\/a><em>, <\/em><a href=\"https:\/\/shortform.com\/app\/book\/the-effective-executive\/introduction#the-rise-of-the-knowledge-worker\">knowledge workers produce results by recalling and sharing important information.<\/a> Drucker developed this concept because, like Forte, he believed that knowledge and mental labor is the most valuable asset in today\u2019s society.&nbsp;Forte\u2019s description of knowledge work above adds to Drucker\u2019s original concept in a couple of ways. First, Forte expands Drucker\u2019s concept of knowledge work by claiming that <em>creativity<\/em>, alongside productivity, produces effective knowledge work. Further, while Drucker recommends improving your ability to do knowledge work by strengthening mental skills like <a href=\"https:\/\/shortform.com\/app\/book\/the-effective-executive\/practice-1\">effective time management<\/a>, <a href=\"https:\/\/shortform.com\/app\/book\/the-effective-executive\/practice-2\">focus<\/a>, and <a href=\"https:\/\/shortform.com\/app\/book\/the-effective-executive\/practice-3\">the ability to make novel contributions<\/a>, Forte recommends using an external storage system (what he calls a Second Brain).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Our Biological Tendencies Make Technology Overwhelming and Knowledge Work Hard<\/strong><\/h3>\n\n\n\n<p>In <a href=\"https:\/\/shortform.com\/app\/book\/hyperfocus\"><em>Hyperfocus<\/em><\/a><em>, <\/em>Chris Bailey provides context that supports Forte\u2019s claim regarding information overwhelm in the modern world. Bailey explains that our brains aren\u2019t equipped to handle all the information of the technological era\u2014and consequently struggle to do knowledge work\u2014<a href=\"https:\/\/shortform.com\/app\/book\/hyperfocus\/part-1-chapter-1#2-we-can-only-pay-attention-to-a-limited-amount-of-information\">because of the ancient biological limits of our working memory<\/a>. Our <a href=\"https:\/\/www.shortform.com\/blog\/improve-working-memory-moonwalking-with-einstein\/\">working memory<\/a> only stores information that\u2019s relevant to the tasks we\u2019re <em>currently<\/em> working on. Consequently, we can only store a limited quantity of information at a time\u2014<em>far less<\/em> than the quantity of information that technology provides us with and that we need to do effective knowledge work, as Forte explains.<\/p>\n\n\n\n<p>Bailey elaborates that of the 11 million bits of information our brains process every second in today\u2019s technological era, we can only absorb about 40 of them. Additionally, we can only permanently store and recall between four and seven of those 40 bits of information.&nbsp;Forte\u2019s method to outsource important information into a digital ESS would seemingly cure the pitfalls of our working memory that Bailey discusses. An ESS allows us to permanently <em>save<\/em>, easily <em>recall<\/em>, and <em>act<\/em> on <em>every<\/em> important piece of information we encounter\u2014even information that\u2019s not <em>currently<\/em> relevant to us.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-how-will-an-ess-increase-performance\"><strong>How Will an ESS Increase Performance?<\/strong><\/h3>\n\n\n\n<p>According to Forte, <strong>there are three primary ways in which using an ESS will increase creativity and productivity, helping us do productive knowledge work:<\/strong><\/p>\n\n\n\n<p>(1) Having an ESS will allow you to record ideas and information in a concrete, external format that\u2019s easy to comprehend and locate, rather than an abstract format that only exists in your mind and is easy to forget. This will increase your productivity.&nbsp;<\/p>\n\n\n\n<p>(Shortform note: Author and business expert Josh Kaufman <a href=\"https:\/\/personalmba.com\/externalization\/\">agrees that externalizing information\u2014getting it out of your head\u2014improves productivity and makes it much easier to return to ideas later<\/a>. He adds that writing information down can also help you to approach it from a new perspective. This may be especially useful if you\u2019re storing information on a problem you\u2019re facing or a challenge you\u2019re trying to overcome.)<\/p>\n\n\n\n<p>(2) Being able to review all the ideas and information you\u2019ve ever encountered will allow you to make unique connections between seemingly unrelated concepts, unlocking new levels of creativity.&nbsp;<\/p>\n\n\n\n<p>(Shortform note: You can improve your ability to make connections between seemingly unrelated pieces of information in your ESS by <a href=\"https:\/\/evernote.com\/blog\/three-steps-finding-inspiration\/\">regularly engaging in synectics exercises<\/a>.
