Do you ever struggle to interpret their emails or tone?<\/p>\n\n\n\n<p>Thomas Erikson, the author of <em>Surrounded by Idiots, <\/em>categorizes people into four personality colors: Red, Yellow, Green, and Blue. Each personality has unique characteristics and behaviors that can sometimes make working together difficult. <\/p>\n\n\n\n<p>Here&#8217;s how to better understand the connection between personality and communication style.<\/p>\n\n\n\n<!--more-->\n\n\n\n<h2 class=\"wp-block-heading\" id=\"block-49e73ded-03c7-470b-af2b-e726291fbb26\">Verbal Communication<\/h2>\n\n\n\n<p id=\"block-c221f5a9-5fb8-4a77-be8a-21e2ae9ead2b\"><strong>A vocal cue is a variation in someone\u2019s voice when speaking, such as tone and speed. <\/strong>According to Erikson, each personality type displays distinct vocal cues, and by listening carefully, you can learn a lot about personality and communication style.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"block-fae54fd1-6c79-4e59-abbb-b37349c798e9\">Red Personality Type\u2019s Vocal Cues<\/h3>\n\n\n\n<p id=\"block-e42903f7-ae57-4296-a1d9-6b6f2c18b2f9\">Red types exude confidence, and Erikson points out that this is evident in their tone of voice. Even when they\u2019re nervous or unsure of themselves, <strong>Red personalities speak in a voice that\u2019s loud and clear<\/strong>. He explains that they won\u2019t stumble over their words, and they rarely pause. In other words, they speakquickly and articulately.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"block-e812e53d-fd31-487a-b9c0-cec62c38a415\">Yellow Personality Type\u2019s Vocal Cues<\/h3>\n\n\n\n<p id=\"block-1f908641-0045-4379-b4d6-fbe1bda1f992\">Have you heard the expression, <em>he wears his heart on his sleeve<\/em>? Well, Erikson says a Yellow-dominant person wears his heart on his tongue. When a <a href=\"https:\/\/www.shortform.com\/blog\/yellow-personality-type\/\">Yellow personality<\/a> type speaks, you immediately know what he\u2019s feeling because <strong>his tone of voice is full of expression<\/strong>. Erikson explains that Yellow personalities speak quickly like Red types, but unlike the articulate Reds, <strong>Yellow-dominant people often stumble over their words<\/strong> because there isn\u2019t much of a filter between their thinking and speaking.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"block-99d424c7-f7a1-4013-a9a2-dbc3ff455779\">Green Personality Type\u2019s Vocal Cues<\/h3>\n\n\n\n<p id=\"block-41f2bffa-fb65-40a3-b9f0-70ddf51efd19\">Erikson says <strong>Green personalities speak in controlled, gentle, and soft tones<\/strong>. Their speed is on the slower side, but not as slow as a <a href=\"https:\/\/www.shortform.com\/blog\/blue-personality-type\/\">Blue personality<\/a>. While fine in small groups, Erikson explains that when a Green-dominant person is speaking to a crowd, she might be asked to raise her voice so everyone can hear. One of the reasons why they\u2019re a calming force, he says, is because their voices ooze warmth and comfort.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"block-c30b55ac-9f13-49df-9d94-aed14fe4203b\">Blue Personality Type\u2019s Vocal Cues<\/h3>\n\n\n\n<p id=\"block-ce71f473-708d-4101-88ff-099ca051f66c\">Erikson says that <strong>Blue personalities speak slowly and have little variance in tone<\/strong>. They pause more than other people because they think through everything that they want to say and are deliberate with their words. He says Blue types may come across as dry or uninterested because of the lack of inflection or passion in their voices.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>The Vocal Cues of Great Public Speakers<\/strong><br><br>Of these four ways of speaking, is one better suited for public speeches than the others? The answer depends on a few factors:<br><br>&#8211;<strong>The topic and purpose<\/strong> of the speech<br>&#8211;<strong>The setting<\/strong> in which the speech is given<br>&#8211;<strong><em>Who<\/em> is delivering<\/strong> it<br><br>For example, a speech given by the President about war shouldn\u2019t be delivered in the same way that a tech entrepreneur would unveil a new product. For this reason, some people\u2019s natural way of speaking might be better suited for certain topics. However, <strong>the most important factor is authenticity.&nbsp;<\/strong><br><br>Communications coach Carmine Gallo explains in his book, <a href=\"https:\/\/shortform.com\/app\/book\/talk-like-ted\"><em>Talk Like TED<\/em><\/a><em>, <\/em>that <a href=\"https:\/\/shortform.com\/app\/book\/talk-like-ted\/chapter-9\">an audience can instantly detect inauthenticity<\/a>. If you naturally speak with little variance in your tone and try to sound enthusiastic, it will ring false. If you genuinely feel enthusiastic, on the other hand, let this emotion shine through. To keep an audience\u2019s trust and attention, you must be true to yourself.<br><br>If you find yourself tasked with delivering a public speech, <em>don\u2019t<\/em> try to change your personality, but <em>do<\/em> consider the context of the speech and deliver it accordingly.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-written-communication\">Written Communication<\/h2>\n\n\n\n<p>You can now identify a person\u2019s personality type using <a href=\"https:\/\/www.shortform.com\/blog\/body-language-crucial-conversations\/\">body language<\/a> and vocal cues. However, this only works if you\u2019re face-to-face. Erikson points out that <strong>in today\u2019s world, collaboration from a distance isn\u2019t unusual, and there will be times when you have to meet and work with someone via writing<\/strong>. In these situations, he says it\u2019s helpful to know the personality type of the person you\u2019re dealing with, and how to respond accordingly. Luckily, each type has distinct writing characteristics.&nbsp;<\/p>\n\n\n\n<p>Using Erikson\u2019s identification and response techniques, in this section we use a hypothetical scenario to study each personality type\u2019s written communication style. Consider how each of the colors might send an email regarding an upcoming company party:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-red-personality-s-email\">Red Personality\u2019s Email<\/h3>\n\n\n\n<p><em>Reminder, the party is at 7 on Saturday. No need to bring anything.<\/em><\/p>\n\n\n\n<p><em>\u2014Janet<\/em><\/p>\n\n\n\n<p><strong>Characteristics: <\/strong>The email is short and to the point. There is no opening greeting or closing words, and definitely no small talk. Emails from Red-dominant people often contain sentence fragments.<\/p>\n\n\n\n<p><strong>How to Respond:<\/strong> Erikson says to answer the email immediately, and keep it short and sweet. \u201cThanks, see you then\u201d would suffice.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-yellow-personality-s-email\">Yellow Personality\u2019s Email<\/h3>\n\n\n\n<p><em>Hey everyone! Just a reminder, the company party is this Saturday at 7 p.m. Yay! I can\u2019t wait! There will be all kinds of drinks, lots of food, and the best DJ in town (I\u2019ve known him forever, and he DJ\u2019d my friend\u2019s birthday party, so I\u2019ve seen him in action, and he\u2019s great!). Everything is provided, but feel free to bring good vibes, haha! See you there!<\/em><\/p>\n\n\n\n<p><em>Thanks, Janet<\/em><\/p>\n\n\n\n<p><strong>Characteristics: <\/strong>In this email, there is an opening greeting as well as a closing. She uses animated language, exclamation points, and casual words. She sneaks in a personal anecdote about the DJ that\u2019s a bit tangential. You can feel her emotions coming through the page.<\/p>\n\n\n\n<p><strong>How to Respond: <\/strong>Erikson says Yellow personalities don\u2019t expect an immediate response like Red types do, but don\u2019t forget to answer or she will feel self-conscious. While you don\u2019t have to sound as excited as she does, he recommends you show appreciation for the reminder using a friendly tone.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-green-personality-s-email\">Green Personality\u2019s Email<\/h3>\n\n\n\n<p><em>Hi team, I just wanted to remind you that the company party will start at 7 on Saturday. Food and drinks will be provided, but you\u2019re welcome to bring something if you feel inclined. If you haven\u2019t done so already, please remind me by the end of the day if you have any food allergies so I can alert the caterer. See you all there!<\/em><\/p>\n\n\n\n<p><em>Sincerely, Janet<\/em><\/p>\n\n\n\n<p><strong>Characteristics: <\/strong>This email is friendly but polished. The tone is soft and approachable like the Yellow type\u2019s. Unlike the Yellow-dominant person, however, the <a href=\"https:\/\/www.shortform.com\/blog\/green-personality-type\/\">Green personality<\/a> is careful with punctuation and word choice to sound professional but not cold. Note that she asks about food allergies so that everyone is accommodated.<\/p>\n\n\n\n<p><strong>How to respond: <\/strong>Erikson says Green types like to feel appreciated, so respond in a friendly manner and thank her for her hard work on the party and for the emailed reminder.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-blue-personality-s-email\">Blue Personality\u2019s Email<\/h3>\n\n\n\n<p><em>Good morning everybody. This email is a reminder that our annual employee appreciation party will be held this Saturday at 7 p.m. at the convention center (the same location as last year). I have included driving directions and parking instructions as attachments to this email. The party will end precisely at midnight. Please be prompt in your departure, as we have a cleaning team hired to begin at exactly midnight.&nbsp;<\/em><\/p>\n\n\n\n<p><em>Regards, Janet<\/em><\/p>\n\n\n\n<p><strong>Characteristics: <\/strong>This email has no emotion attached and is instead all about conveying practical information. She included driving directions even though the employees are familiar with the location, and it\u2019s important to her that the employees leave on time. The language is professional, and there are no exclamation points.&nbsp;<\/p>\n\n\n\n<p><strong>How to respond: <\/strong>First, recognize that Janet assumes you read the email and attachments in full, so don\u2019t respond with any questions that she\u2019s already answered. Erikson recommends you respond with a short email confirming that you received and understand the email and attachments.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>How to Effectively Request a Favor via Email<\/strong><br><br>Regardless of your personality type and your recipient\u2019s, there are a <a href=\"https:\/\/www.psychologytoday.com\/us\/blog\/fulfillment-any-age\/201807\/5-ways-get-what-you-want-email\">few universal strategies<\/a> you should use when requesting a favor via email. To win anyone\u2019s favor, the request must come across politely and professionally. Here are a few tips:<br><br><strong>Use a formal tone<\/strong> when you don\u2019t know the recipient well, or if she holds a higher status than you. For example, instead of saying, \u201cHi Joan!\u201d you might opt for, \u201cGood afternoon Professor Jennings.\u201d<br><br><strong>Put her schedule and needs above your own<\/strong>. After all, you\u2019re the one needing the favor. For example, if you are asking a colleague to help you with a project, you could say, \u201cIf you\u2019re able to help, I would be happy to work around your schedule and bring coffee.\u201d<br><br><strong>Don\u2019t elaborate on excuses <\/strong>when asking for a time extension. Keep the reason for the request short and simple, and instead focus on what you are requesting.<br><br><strong>Show appreciation <\/strong>but don\u2019t overdo it. Always thank the recipient for her time and for honoring the request, but don\u2019t ingratiate.
