To make the most impact, you should also play your verbal delivery (how you say the words you&#8217;ve prepared), <a href=\"https:\/\/www.shortform.com\/blog\/body-language-crucial-conversations\/\">body language<\/a>, and hand gestures.<\/p>\n\n\n\n<p>Keep reading for tips on effective presentation planning.<\/p>\n\n\n\n<!--more-->\n\n\n\n<h2 class=\"wp-block-heading\">Tips for Effective Presentation Planning<\/h2>\n\n\n\n<p><strong>Effective presentation planning involves working out exactly how you want your speech to unfold<\/strong>\u2014for example, the points you want to make and the supporting evidence you want to use. Your talk is much more likely to run smoothly if you have a clear idea of what you want to say, rather than having to make your points up as you go along.&nbsp;<\/p>\n\n\n\n<p>You could use a <a href=\"https:\/\/www.shortform.com\/blog\/message-map\/\">message map<\/a> as a planning tool. <strong>A message map is a one-page summary of everything you want to include in your talk.<\/strong> Creating a message map involves three steps:<\/p>\n\n\n\n<p><strong>Step 1: At the top of a sheet of paper, draw an oval.<\/strong> In the oval, write a short \u201cheadline\u201d that summarizes the <a href=\"https:\/\/www.shortform.com\/blog\/core-message\/\">main point<\/a> of your talk\u2014the message that you most want your audience to remember. Be as concise as possible (Gallo advises keeping the headline below 140 characters). For instance, a short and simple headline might be \u201cBuying Our Product Will Improve Your Life.\u201d<\/p>\n\n\n\n<p><strong>Step 2: Next, draw three arrows pointing down from the oval.<\/strong> At the end of each arrow, write a sub-point that will support your overall argument. For example, if your overall argument is that buying your product will benefit customers, write three reasons why this is the case. Don\u2019t include any more than three sub-points\u2014this would break the Rule of Three discussed in Chapter 7.&nbsp;<\/p>\n\n\n\n<p><strong>Step 3: Below each sub-point, write all of the supporting material you\u2019re going to include when discussing it.<\/strong> For example, are you going to tell a story that proves your sub-point is valid? Are you going to include a humorous anecdote in this section of the speech or incorporate a shocking moment?&nbsp;<\/p>\n\n\n\n<p>Remember, you\u2019re trying to keep your plan to one page, so don\u2019t feel the need to write stories or anecdotes out in full. Summarize them in just a few key words that will remind you what you want to say.<\/p>\n\n\n\n<p>After completing the three steps, your message map should look something like this:<br><img decoding=\"async\" src=\"https:\/\/lh4.googleusercontent.com\/qdCYm12NB9PRNb7owYLT5_EZkfMapog_MLaQFzY8e05tGcQUkrKvY8udsfvQGSdB4r1XpU6Cj3oJ9_9uS2b-SRGXO-qUrmonL0SLMW_dSQhtznFKZrbardIYQdULap0z5P3JHKX_\" width=\"798.7322033898305\" height=\"444\"><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Practice Again and Again<\/strong><\/h3>\n\n\n\n<p>Once you\u2019ve finished planning your presentation, practice it again and again. If you don\u2019t rehearse before you speak, you won\u2019t know your talk\u2019s structure or content very well. As you present, you\u2019ll spend all of your <a href=\"https:\/\/www.shortform.com\/blog\/mental-energy\/\">mental energy<\/a> contemplating logistical issues such as when to move on to the next slide and what\u2019s actually <em>on <\/em>the next slide. <strong>Consequently, you won\u2019t have the focus required to state your ideas clearly and smoothly.<\/strong>&nbsp;<\/p>\n\n\n\n<p>You might think that the most important element of presentation planning is memorizing its content. This is undoubtedly important\u2014you don\u2019t want to get up on stage only to find that you can\u2019t remember what you\u2019re supposed to be talking about. But effective presentation planning requires more than just preparing what you are going to say.  There are three other things you need to practice as well. These are:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Verbal delivery<\/strong><\/li><li><strong><a href=\"https:\/\/www.shortform.com\/blog\/confident-body-language\/\">Confident body language<\/a><\/strong><\/li><li><strong>Hand gestures<\/strong><\/li><\/ol>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Verbal Delivery<\/strong><\/h4>\n\n\n\n<p><strong>Verbal delivery is <\/strong><strong><em>how<\/em><\/strong><strong> you say the words you\u2019ve prepared.<\/strong> It involves many factors, such as how loudly you speak, the pitch of your speech, and how often you pause between points.&nbsp;<\/p>\n\n\n\n<p>However, Gallo focuses on the one element of verbal delivery that he believes is crucial to success: the speed of your speech. Speak too quickly, and people will struggle to understand what you\u2019re saying. Speak too slowly, and your audience will swiftly become bored.&nbsp;<\/p>\n\n\n\n<p>So, what speed is \u201cjust right\u201d? After analyzing many TED talks, <strong>Gallo has concluded that the optimal rate of speech when giving a talk is around 190 words per minute.<\/strong> He argues that this is a conversational speed\u2014for instance, the speed of speech you\u2019d adopt if you were talking to a friend about your favorite TV show. Therefore, it\u2019s a rate of speech that seems both natural and authentic.&nbsp;<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">An Exception to the Rule<\/h5>\n\n\n\n<p>There are some exceptions to this 190-words-per-minute rule. <strong>For instance, it\u2019s acceptable to vary the speed of your speech to reflect the tone or content of what you\u2019re saying. <\/strong>For example, when photographer Lisa Kristine gave <a href=\"https:\/\/www.ted.com\/talks\/lisa_kristine_photos_that_bear_witness_to_modern_slavery\">a TED talk<\/a> on modern slavery in 2012, she slowed down her rate of speech when she made the important point that despite slavery being illegal worldwide, it still exists almost everywhere. Making this point slowly added emphasis and gravitas to Kristine\u2019s words.&nbsp;<\/p>\n\n\n\n<p>Meanwhile, when Dr. Jill Bolte Taylor gave <a href=\"https:\/\/www.youtube.com\/watch?v=PzT_SBl31-s&amp;vl=ko\">a 2013 TEDxYouth talk<\/a> on how the brain changes throughout puberty, her speech reached the rate of 220 words per minute. She decided to speak this quickly to emphasize the swift nature of the brain\u2019s transformation at this time of life.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Confident Body Language<\/strong><\/h4>\n\n\n\n<p><strong>Rehearse holding your body in a way that suggests you\u2019re sure of yourself and your opinions.<\/strong> If you fail to appear confident in your convictions, your audience will trust you and your opinions less. After all, why would they believe or agree with what you\u2019re saying if you don\u2019t seem certain of it yourself?<\/p>\n\n\n\n<p>There are a number of things you can do to exude confidence through body language:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Stand up straight\u2014don\u2019t slouch.<\/strong><\/li><li><strong>Hold your head up high, rather than looking downwards.<\/strong><\/li><li><strong>Make frequent eye contact with the audience.<\/strong><\/li><li><strong>Resist the urge to fidget\u2014for instance, play with your hair or scratch your nose.&nbsp;<\/strong><\/li><\/ol>\n\n\n\n<p>If you\u2019re not sure which of these confident actions you\u2019re taking already and which you aren\u2019t, video yourself making a speech.<strong> <\/strong>Then, watch the video and identify where your problem areas lie.&nbsp;<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">Fake It \u2018Till You Make It<\/h5>\n\n\n\n<p>If you\u2019re already feeling confident about your speech or presentation, confident body language will likely come naturally. However, if you\u2019re <a href=\"https:\/\/www.shortform.com\/blog\/how-to-stop-feeling-nervous\/\">feeling nervous<\/a> or insecure, you may doubt your ability to hold your body in a way that\u2019s contradictory to your emotions.&nbsp;<\/p>\n\n\n\n<p>If you\u2019re in the latter situation, don\u2019t be afraid to \u201cfake it \u2018till you make it.\u201d In other words, <strong>keep practicing confident body language no matter how insecure you actually feel. <\/strong>Studies have shown that doing so can actually make you feel more confident. Standing in a confident position increases your levels of testosterone \u2014a hormone which, amongst other functions, increases your confidence\u2014while simultaneously reducing levels of <a href=\"https:\/\/www.shortform.com\/blog\/stress-and-hormones\/\">the stress hormone<\/a> cortisol.&nbsp;<\/p>\n\n\n\n<p>Researchers claim the so-called \u201cpower pose\u201d is particularly effective at boosting confidence levels. This involves stretching your arms as wide as possible for two minutes.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Hand Gestures<\/strong><\/h4>\n\n\n\n<p><strong>As you speak, don\u2019t simply hide your hands in your pockets.<\/strong> <strong>Instead, use gestures to add emphasis to what you\u2019re saying.<\/strong> For example, if you\u2019re talking about how much a problem has grown in size, create a small circle with your hands and expand it. If you want to emphasize that you\u2019ve personally experienced this problem, point at yourself.&nbsp;<\/p>\n\n\n\n<p>Using hand gestures has a number of benefits:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>It prevents you from using your hands to fidget, thus helping you to exude confidence.&nbsp;<\/li><li>Movement of any kind\u2014including hand movement\u2014makes you more interesting to watch, and therefore grips your audience\u2019s attention.<\/li><li>Studies have shown that making hand gestures will increase the audience\u2019s confidence in you and what you\u2019re saying.<\/li><\/ul>\n\n\n\n<h5 class=\"wp-block-heading\">Four Tips for Using Hand Gestures<\/h5>\n\n\n\n<p><strong>Tip #1: Don\u2019t use gestures <\/strong><strong><em>too <\/em><\/strong><strong>often. <\/strong>They\u2019ll lose their impact and may become overly distracting. Only use gestures to punctuate crucial points of your presentation\u2014for example, your main argument, or the conclusion of a story you\u2019re telling.&nbsp;<\/p>\n\n\n\n<p><strong>Tip #2: Only use gestures that feel comfortable and natural to you.<\/strong> In particular, don\u2019t try to mimic another person\u2019s gesturing style\u2014for example, that of a politician or famous speaker\u2014if it\u2019s out of your comfort zone. The gestures will seem forced and you\u2019ll seem inauthentic.&nbsp;<\/p>\n\n\n\n<p><strong>Tip 3: Don\u2019t overthink which gestures to use.<\/strong> Settle on those that feel the most natural and appropriate to the situation.<\/p>\n\n\n\n<p><strong>Tip #4: Keep your gestures within the \u201cpower sphere.\u201d<\/strong> This is the area of the body from the eyes down to the navel.
