While these tasks may not be urgent, they&#8217;ll benefit you in the long run.<\/p>\n\n\n\n<p>Learn how to tell the difference between what&#8217;s important and what&#8217;s urgent.<\/p>\n\n\n\n<!--more-->\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-urgency-vs-importance\">Urgency vs. Importance <\/h2>\n\n\n\n<p>The authors derive inspiration from the <a href=\"https:\/\/www.shortform.com\/blog\/covey-time-management-matrix-7-habits\/\">time management matrix<\/a> Stephen Covey presents in <a href=\"https:\/\/www.shortform.com\/app\/book\/the-7-habits-of-highly-effective-people\/\" target=\"_blank\" rel=\"noreferrer noopener\"><em>The 7 Habits of Highly Effective People<\/em><\/a>. Covey\u2019s matrix helps you differentiate between importance and urgency. Benson and DeMaria take Covey\u2019s categories and make them more flexible to fit personal kanban:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><em>High importance<\/em><em>Low urgency<\/em><br><strong>Continuous improvement tasks<\/strong><\/td><td><em>High importance<\/em><em>High urgency<\/em><br><strong>Urgencies<\/strong><\/td><\/tr><tr><td><em>Low importance<\/em><em>Low urgency<\/em><br><strong>Rest and leisure<\/strong><\/td><td><em>Low importance<\/em><em>High urgency<\/em><br><strong>Connection with others<\/strong><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>According to the authors, <strong>you should prioritize continuous improvement tasks<\/strong>. These tasks include learning and making projects more efficient. They\u2019re not urgent, but they can help you avoid future emergencies. Urgencies, on the other hand, should be few and far between. Don\u2019t get into the habit of putting tasks off until they become urgent.<\/p>\n\n\n\n<p>Rest and leisure include the tasks you want to do. They might not directly contribute to your goals but they give your mind the rest and stimulation it needs to tackle the other quadrants. Finally, connection tasks include, for example, favors people ask of you and social gatherings that you feel obligated to attend. They\u2019re urgent in the sense that they\u2019re happening now, but they won\u2019t necessarily move the needle for your current priorities. However, that event you attend tonight might help you strengthen connections that help you in a future project.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Develop Time Management <em>Skills<\/em> to Complement the <em>Tools<\/em><\/strong><br><br>Covey\u2019s matrix\u2014and Benson and DeMaria\u2019s remix of it\u2014is useful for understanding what kind of tasks you\u2019re facing, but it doesn\u2019t ensure you will then <a href=\"https:\/\/www.shortform.com\/blog\/how-to-manage-time-efficiently\/\">manage your time<\/a> effectively to accomplish them. Research shows that <a href=\"https:\/\/hbr.org\/2020\/01\/time-management-is-about-more-than-life-hacks\" target=\"_blank\" rel=\"noreferrer noopener\">three skills are necessary for effective time management<\/a>, each of which is equally important:\u00a0<br><br>1. <strong>Awareness <\/strong>that your available time is limited\u2014the matrix doesn\u2019t measure the accuracy of your time estimates for tasks, nor does it improve how you allocate your limited time.<br><br>2. <strong>Arrangement <\/strong>of your time through goal-setting, planning, and scheduling\u2014the matrix is most effective in this category because it helps you prioritize the most important tasks to schedule accordingly.<br><br>3. <strong>Adaptation <\/strong>of your time while carrying out tasks, particularly when you\u2019re interrupted and have to shift priorities\u2014the matrix potentially improves adaptation by providing a system to gauge priorities on the fly if your work is interrupted with an urgent request.<\/td><\/tr><\/tbody><\/table><\/figure>\n","protected":false},"excerpt":{"rendered":"<p>What&#8217;s the difference between importance and urgency?
