By forcing you to limit the tasks you\u2019re working on at any given time, you ensure you\u2019re focusing on priorities you can accomplish.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>The Four-Criteria Model: Decide How to Act in the Moment<\/strong><br><br>You might need some guidance to make the most of the information your kanban gives you. Consider following the <a href=\"https:\/\/shortform.com\/app\/book\/getting-things-done\/chapter-9#the-four-criteria-model-for-narrowing-down-your-options\" target=\"_blank\" rel=\"noreferrer noopener\">four-criteria model<\/a> David Allen outlines in <a href=\"https:\/\/shortform.com\/app\/book\/getting-things-done\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Getting Things Done<\/em><\/a><em> <\/em>which can help you decide which item to tackle:<br><br><strong>Context<\/strong>: Certain tasks require you to be at a certain location or to have access to a certain tool (for example, at the office or in front of a computer).&nbsp;<br><br><strong>Time available<\/strong>: Some tasks require an hour of focused attention, so if you just have a few minutes before your next appointment this isn\u2019t the time for that task.&nbsp;<br><br><strong>Energy available<\/strong>: Certain tasks require a lot of mental or physical energy, while others don\u2019t need much. Only tackle what you have the energy to take on.&nbsp;<br><br><strong>Priority<\/strong>: Some tasks naturally have a higher payoff than others, so prioritize those. After narrowing your options with the first three criteria, prioritize based on your intuition and judgment.&nbsp;<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-4-it-s-adaptable\">4. It\u2019s Adaptable<\/h2>\n\n\n\n<p>Personal kanban can adapt to your personal needs in several ways:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Instead of spending hours making detailed plans that get derailed more often than not, <strong>kanban allows you to plan in broad strokes<\/strong>, make progress, and adjust your next steps as you move forward rather than holding on to a plan that isn\u2019t working.<\/li><li><strong>Personal kanban can hold an ever-growing list<\/strong> of disparate tasks without overwhelming the system. The focus on broad strokes and short terms can mean you only have visibility of the immediate past and future, which limits how much you can learn from your previous work and how well you can plan ahead. The capacity to hold disparate tasks can also make it difficult to assess your current situation at a glance if you can\u2019t quite differentiate between walking the dog and doing your taxes. Luckily, you can leverage kanban\u2019s adaptability to suit your need for more structure. We\u2019ll explain how throughout the next section.)<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-bonus-it-s-better-than-a-checklist\">Bonus: It\u2019s Better Than a Checklist<\/h2>\n\n\n\n<p>The authors argue that <strong>to-do lists have many drawbacks that kanban addresses<\/strong>, starting with the mechanics of each. While to-do lists simply <em>list <\/em>tasks until you check them off, kanban displays your tasks\u2019 entire life cycle, including when they are in progress. A <a href=\"https:\/\/www.shortform.com\/blog\/gtd-to-do-list\/\">to-do list<\/a> doesn\u2019t give you information about what you\u2019re currently working on, and its linear display doesn\u2019t differentiate between tasks that are coming up in the future versus those you should be focusing on right now. Gary Keller and Jay Papasan argue in <a href=\"https:\/\/shortform.com\/app\/book\/the-one-thing\" target=\"_blank\" rel=\"noreferrer noopener\"><em>The One Thing <\/em><\/a>that <a href=\"https:\/\/shortform.com\/app\/book\/the-one-thing\/part-1-chapter-4#to-do-lists\" target=\"_blank\" rel=\"noreferrer noopener\">to-do lists are merely \u201csurvival\u201d lists of our best intentions<\/a>. But while the creators of personal kanban do away with lists altogether, Keller and Papasan suggest transforming your to-do list into a success list\u2014a short, prioritized list that aims you in a specific direction using sequential <a href=\"https:\/\/www.shortform.com\/blog\/small-steps-to-success\/\">steps to success<\/a>.
