James Victore, designer, filmmaker, and author of <a href=\"https:\/\/www.amazon.com\/Feck-Perfuction-Dangerous-Ideas-Business\/dp\/1452166366\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Feck Perfuction<\/em><\/a>, explains that many of us have allowed our devices, with their constant alerts and buzzing, to determine our priorities. He insists that the secret to developing a healthy relationship with technology and <a href=\"https:\/\/www.shortform.com\/blog\/how-to-manage-distractions\/\">managing distractions<\/a> at work is this: Remind yourself that <strong>you&#8217;re in control of how you focus your attention<\/strong>, and make sure you&#8217;re using technology in service of your priorities.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Why Is Focusing So Hard?<\/strong><br><br>While you&#8217;re in control of how you focus your attention, Chris Bailey (<a href=\"https:\/\/shortform.com\/app\/book\/hyperfocus\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Hyperfocus<\/em><\/a>) explains why staying focused feels so hard. While <a href=\"https:\/\/shortform.com\/app\/book\/hyperfocus\/part-1-chapter-1\" target=\"_blank\" rel=\"noreferrer noopener\">our world has changed rapidly due to advances in industry and technology, our brains haven&#8217;t kept up<\/a>. Bailey explains that we have a natural inclination to respond to novel, potentially dangerous, or gratifying stimuli. Our brains can only process and focus on a finite amount of information at any given time. With an overwhelming amount of stimuli competing for our attention in today&#8217;s fast-paced world, our limited attentional resources can easily become strained, leading to difficulty <a href=\"https:\/\/www.shortform.com\/blog\/maintaining-focus\/\">maintaining focus<\/a>.<br><br><strong>3. <\/strong><a href=\"https:\/\/shortform.com\/app\/book\/hyperfocus\/part-1-chapter-1#3-we-love-to-task-shift\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>We love to task-shift.<\/strong><\/a><strong> <\/strong>Our brains have a natural propensity to seek out new and different experiences, often leading us to switch from one task or activity to another. While this adaptability can be advantageous in certain situations, it also hinders sustained focus and productivity when we constantly shift our attention from one thing to the next.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Social media and email are often the worst sources of distraction, easily pulling our attention away from more important work. Lori Deschene, the founder of <a href=\"https:\/\/tinybuddha.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Tiny Buddha<\/a>, says that it\u2019s important to <strong>pay attention to when and why you engage with social media<\/strong>. Social media can be helpful as long as you make sure you&#8217;re using it intentionally in a way that serves you and your work.&nbsp;<\/p>\n\n\n\n<p>(Shortform note: In addition to setting time limits on your social media and removing apps from your home screen, <a href=\"https:\/\/www.shondaland.com\/live\/body\/a36040858\/how-to-have-a-healthy-relationship-with-social-media-in-2021\/\" target=\"_blank\" rel=\"noreferrer noopener\">you can be intentional about how you curate your social media feed<\/a>. One social media director suggests looking through your feed with the goal of editing it. Only follow accounts that are informative or those that leave you feeling inspired or joyful, and unfollow or block any toxic content that doesn\u2019t serve you or your goals.)<\/p>\n\n\n\n<p>Aaron Dignan, the <a href=\"http:\/\/www.aarondignan.com\/#intro\" target=\"_blank\" rel=\"noreferrer noopener\">founder of The Ready<\/a> and author of <a href=\"https:\/\/shortform.com\/app\/book\/brave-new-work\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Brave New Work<\/em><\/a>, has a similar suggestion for how to manage email. He suggests considering every email through the lens of your long-term goals by following two simple rules.<\/p>\n\n\n\n<p>First, <strong>keep your long-term goals in mind<\/strong>. Email often pertains to how we manage the minutiae of our day, but, according to Dignan, most of those smaller tasks connect to larger goals. If you&#8217;re clear on your long-term goals, you can mentally organize your email according to how the correspondence impacts those goals. For example, if your long-term goal is to launch a successful startup, you can prioritize emails related to funding, partnerships, and product development over less impactful messages. He suggests writing your goals down somewhere visible and reviewing them every couple of months to make sure they\u2019re still accurate.<\/p>\n\n\n\n<p>Second, <strong>give yourself permission to say no. <\/strong>You\u2019ll inevitably get emails that don\u2019t have any connection to your goals or priorities. Don\u2019t let distracting opportunities pull you away from what\u2019s most important. You can\u2019t do everything, so don\u2019t try. If you get an opportunity or request that will distract you from your goals, say no, and move on.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Changing the Culture of Email<\/strong><br><br>While Dignan offers individual strategies to address the challenge of navigating a relentless inbox, in <a href=\"https:\/\/shortform.com\/app\/book\/a-world-without-email\" target=\"_blank\" rel=\"noreferrer noopener\"><em>A World Without Email<\/em><\/a>, Cal Newport advocates <a href=\"https:\/\/shortform.com\/app\/book\/a-world-without-email#a-better-approach-to-work-solutions-to-the-hyperactive-hive-mind-workflow\" target=\"_blank\" rel=\"noreferrer noopener\">organization-wide changes to minimize the number and frequency of emails you receive<\/a>.<br><br>For example, one of the <a href=\"https:\/\/www.shortform.com\/blog\/systemic-changes-examples\/\">systemic changes<\/a> he calls for is establishing clear <a href=\"https:\/\/www.shortform.com\/blog\/workplace-protocols\/\">communication protocols<\/a> within an organization. Newport argues that by implementing specific guidelines for when to use email versus other forms of communication, such as instant messaging or face-to-face meetings, you can significantly reduce the influx of unnecessary emails.
